Invited survey - Instruments In the example below the project is set up with an initial survey and 3 subsequent instruments to be filled by normal data entry
Invited survey manage participants The list of email adresses and identifiers are added via Add participants button. After that the survey invitation mail can be set up by clicking the Compose Survey Invitation button Next Slide Participant identifier is enabled, so survey is not anonymous Still no sent invitations and no responses
Compose survey invitation Decide who from the participant list this invitation should be sent to Should the invitation be sent immediately or at a specified time Compose the actual email that REDCap should send. Send the invitation (or schedule the sending if immediately was not chosen above)
Status The manage survey participants page allows an overview over sent and responded invitations REDCap shows assigned Record ID since survey is set with a participant identifier and not anonymously Invitations sent and one response. The filled response can be accessed by clicking the bullit (because the survey is not anonymous)
Status Dashboard The REDCap will not show all the individuals in survey participant list. Only when a patients has actually filled a survey will he be assigned his recordid and be enrolled in the project database and appear in the dashboard. Notice the additional status icons when surveys are activated in a project. If one needs to include a patient into the study who does not have an email adress, it is possible to add a patient using the Add/Edit Records button used for normal patient entry. The Survey instrument can then be filled in the normal way by the study personel
Survey not first instrument Linked to email field As an alternative to having the survey as the initial inclusion instrument, it is also possible to have it as a later instrument as part of a project involving a number of other instruments. The first instrument where the record id is defined is a normal instrument, but we wish to have the patients enrolled in the study fill out one or more surveys during the study. For this kind of survey use, we will need to populate the manage survey participants module by activating an email field in one of the other instruments of the study, such as for example the baseline instrument. When this is done, an email address is automatically added to the survey participant list when a new patient is created in the baseline instrument. The surveys can then be sent either from the manage survey participants module, or automatically based on defined rules. Using surveys in this way allows one to use ones own record id format instead of REDCaps autonumbering. This type of survey will by design not be able to be anonymous.
Survey instruments In this example we have defined a number of normal instruments and a single survey at the end. In the baseline instrument we are collecting an email adress.
Designate email field In Project setup we indicate which field of the project that contains the email address to be used to contact the survey participant
Create new patient and fill baseline instrument
Autoadded to survey participant list The email adress has now automatically been added to the survey participant list, and the survey email can be composed and sent the same way as in an invited survey.
Automated survey invitations For both of the survey types discussed on the previous slides, it is possible to set up logical rules for automatically sending out surveys triggered by events in the study, instead of composing and sending survey invitations from the Manage Survey Participants module
